Suitable authorised, accredited, qualified and experienced service providers are hereby invited to submit a written proposal to provide ERWAT with a solution for the APPOINTMENT OF A PANEL OF SERVICE PROVIDERS FOR THE SERVICE, REPAIRS, AND MAINTENANCE OF TRACTORS, LOADERS, TRUCKS, BUSSES AND VARIOUS EQUIPMENT FOR ERWAT ON ‘AS AND WHEN REQUIRED’ BASIS.

Background

ERWAT owns a fleet of tractors, trucks, loaders, trailers and various other equipment which need to be maintained, service and repaired ‘As and When required’.  Most of the vehicles, plant and equipment are out of guarantee, maintenance and service plans.

Key Outcomes

Request for proposal from potential service providers on possible solutions for the Appointment of a Panel of Service Providers for the Service, Repairs and Maintenance of Tractors, Loaders, Trucks and Equipment for ERWAT on ‘As and When required’ basis.

The primary objective(s) of the service are to:

  1.  Identify and propose various options to achieve the above in line with market trends to effectively repair fleet in the most cost effective way, establishing schedule maintenance/service plants to ensure continues equipment availability and limiting/eliminating standing time.

     

The proposal must include a comprehensive layout of the following (not limited to):

 

  • The type/s of maintenance schedules required for the various equipment

  • The spares specifications and maintenance / service methods

  • Scheduling and pricing for repairs including but not limited to clutch and engine overhauls

  • Bidders will be required to take the entire fleet at the different Plants and station in consideration when compiling proposals.

  • Solution to be practical, cost effective and comply with Occupational, Health and Safety Requirements.

  •  

    The proposal must include a comprehensive layout of the following (not limited to):

  • Advantages and disadvantages of each option;

  • Reliability, successes and effectiveness of each option;

  • Cost estimation with detailed Bill of Quantity for each option;

  • Method statement and Execution plans;

  • Scope of work and specification of the proposed schedules and plans that can be used as the bases of a tender document.

     

    Bidders may be required to present their proposals to the ERWAT Procurement Team at pre-arranged date and time.  No fees will be paid for such by ERWAT.

     

    NB.  Kindly note that a formal bid process will follow given the outcome of the option most suitable for ERWAT and service providers who submitted proposals are welcome to tender for the required services.

No e-mail or faxed bids/proposals shall be accepted. Bids/Proposals that are not received on the specific time and date will be marked as late bids/proposals and such bids/proposals will, in terms of the Supply Chain Management Policy of ERWAT, not be considered by ERWAT as valid bids/proposals.

Bidders’ attention is specifically drawn to the provision of the bid rules which are included in the bid document.

The lowest or any bid will not necessarily be accepted and ERWAT reserves the right not to consider any bid not suitably endorsed or comprehensively completed, as well as the right to accept a bid in whole or part. Bids completed in pencil will be regarded as invalid bids.
